SAP License Audit Preparation

SAP Vendor Audit Preparation

Before you submit your annual license measurement or face an on-site license audit, we will help you develop an Effective License Position (ELP) as part of our SAP license audit preparation services. An ELP identifies risks and opportunities and includes activities to reduce any risk. We can also help you develop a strategy to mitigate financial risk due to non-compliance.

SAP’s contracts and licensing model are complex, so getting it wrong can be costly. We provide a reliable, accurate and proven service to ensure you get it right and remain in control.

Audit preparation stages

  • Contract review

Our process for reviewing your contract is to:
    • Collect your software and service order forms, invoices and master agreement with SAP
    • Create a view of SAP software entitlements in the form of a Bill of Material (BoM) and calculate the total cost of ownership
    • Analyse your terms and conditions against the software you purchased.

  • Named-user measurement

The named-user licensing (NUL) measurement phase provides an accurate view of the named-user licensing your business needs, compared to the assets you currently hold. By establishing the total number of unique named-users, the process identifies surplus or shortfall against each named-user license type within your contract (as documented in the BoM) or other applicable license types. It also helps identify and remove duplicated users.

  • Package measurement

    • Establish applicable metrics
    • Measure usage versus entitlement
    • Detect unused, under-used and unlicensed packages

  • Indirect access measurement

    • Establish all interfaced systems and evaluate usage
    • Establish contractual obligations
    • Define licensing requirements
    • Account for both compliant and non-compliant indirect usage

  • Optimization

Being compliant does not always mean your systems are optimized. Optimization assigns your licenses at best value while staying compliant. By performing active remediation including system configuration, user provisioning, license allocations and user administration, we can optimize the use of your existing assets and reduce the number of licenses you need.

Key benefits

  • Compliance approach

If you were audited by SAP tomorrow, do you know what the outcome would be? As part of our SAP license audit preparation we review your licensing and compliance position across the entire landscape. Our SAP license evaluation process compares your actual usage of SAP software with your license position, to give you an accurate view of licensing requirements and compliance concerns. This gives you a benchmark of how you would perform if you were audited by SAP.

  • Optimization

If your organisation is compliant, optimization can free up your entitlement which can be sometimes be used as a credit against a future purchase. If you are non-compliant, it can correct factors that result in using a higher number of licenses than you need to ensure a compliant position.

Business benefits

By taking steps to optimize your SAP licensing before a license measurement or annual LAW submission, you can ensure you:

• Align software entitlement with business needs
• Proactively manage risk
• Control the license measurement
• Control costs.

Results

  • Our SAP license evaluation process compares your actual usage of SAP software with your license position, to give you an accurate view of licensing requirements and compliance concerns. This gives you a benchmark of how you would perform if you were audited by SAP.

The ITAA SAP license evaluation reveals a more accurate and realistic view of licensing than the standard SAP measurement tools, such as USMM and SLAW. These tools count how many SAP licenses have been allocated by the systems administrator, but this has no direct link to contract definitions, user authorizations or actual use.
